Job description

Title: Facilities Coordinator cum Receptionist (1 Month Contract , renewable)

Start Date: 1st July (Estimated)
Location: Centre Region
Working Hours: Monday to Friday, Office Hours (40 hours/week)
Base Salary: $3,000 - $3,200/month

Key Responsibilities

Facilities Coordination

  • Arrange servicing for office equipment (e.g., copier, dishwasher, coffee machines).

  • Coordinate with building management on air-conditioning and other landlord-related services.

  • Support the Facilities Management (FM) team with administrative tasks and emergency response coordination.

  • Manage vendor invoices, payments, and purchase orders (PO) with accurate record-keeping.

  • Assist the Assistant Manager (AM) with monthly reporting and goods receiving processes.

Reception & Mailroom Services

  • Manage front desk duties: greet and guide visitors, issue visitor passes, handle calls/messages.

  • Maintain security access control procedures and visitor logs.

  • Oversee incoming and outgoing mail, including courier arrangements and internal distribution.

  • Address employee inquiries related to mail and deliveries promptly.

Client Support & Compliance

  • Handle soft services complaints and escalate appropriately.

  • Ensure adherence to company and government compliance standards.

  • Maintain minimum audit requirements.

  • Support end-users and coordinate with soft services vendors for daily operations.
