Facilities Administrator and Receptionist

Integrated Facilities Management

Receptionist Duties

  • Welcome visitors, determine their needs, and direct them appropriately
  • Manage front desk operations and maintain a professional lobby appearance
  • Handle incoming calls, route messages, and respond to general inquiries
  • Process incoming and outgoing mail and deliveries
  • Support meeting preparations including room bookings and visitor notifications
  • Maintain a tidy and well-stocked reception area
  • Assist with catering arrangements for meetings when required

Facilities Administration

  • Coordinate facility maintenance requests and follow up on completion
  • Manage office supplies inventory and ordering process
  • Maintain facility documentation and records
  • Support implementation of facility policies and procedures
  • Coordinate with housekeeping and cleaning services
  • Support workplace experience initiatives

As part of Facilities Management, Facilities Coordinator will be responsible on the following:

  • Serves as the liaison for all facilities services, inclusive but not limited to cafeteria, catering, events, janitorial, lab services, cleanroom landscape, waste management, space planning, and project development services.
  • Monitors the day-to-day operation and leads by example to Cafeteria, Housekeeping and Facilities teams.
  • Assists in Cleanroom Consumables and Cleanroom Cleaning Equipment purchasing
  • Aids in Building and Construction works of Facilities Team
  • Helps in moving-in & out of workstations, event set-ups and All Hands set up of the client
  • Supports in any request of Catering Services and other request from Client through Cafeteria Team
  • Safety Site walk inspection with client and JLL EHS
  • Helps in all environmental and facilities audit such as ISO45001, RBA, client, and customer audit.
  • Managing and uploading the following client compliance in the system:
    Chemical Authorization
    Job Hazard Analysis
    Permit to work system (project work plan)
    Compliance Calendar
    General Hazard Report
    Intelex
    NEA submissions
