Job description

Facilities Admin Executive

Duration: 1 year contract (To start in May or June)

Location: Bras Basah (walkable distance from Dhoby Ghaut/ Bencoolen MRT)

Salary: Up to $4800

Timing: Monday to Friday: 9am to 6pm

Job Duties:

Facilities Management
  • Assist in office expansion/renovation projects via kick-off meetings, organize resources and work out the allocation of tasks to work teams.

  • Ensure office expansion project from planning to final completion is implemented within schedule, budget and quality standards.

  • Work with procurement to renew contract and effectively cut down cost.

  • Assist with post renovation monitoring, quality control.

  • Implement improvement works, plan and design layout to meet user’s requirement, facilitate better workflow and improve the overall ambience of the office.

  • Focal point for operational work, involving troubleshooting, coordination and supervision of routine preventive/breakdown maintenance of Facilities equipment including some engaged through 3rd party vendors – M&E works, fire protection system, office security systems, power shutdowns, after office hours facility support, green initiatives.

  • Assist with event coordination.

  • Campaign support.

  • Monitor ticketing system.

  • In charge of organizing office move as and when required.

  • Attend to feedback and services requested by employees (e.g., stationery request, locker reset request, aircon feedback, etc.).

Administration
  • Manning the reception.

  • Assist with documentation and implementation of office policy including standard operating procedures.

  • Create, track and update office asset list, disposal and equipment maintenance schedules.

  • Maintain and update shared office drive for easy retrieval of information.

  • Monitor and analyze ticket traffic and implement works improvement, reduce inefficiency.

  • Review office vendor management and track expenditure and streamline costs for efficiencies and cost control (e.g., mobile usage, pantry suppliers, cleaning services, etc.).

  • Makes recommendations for new procedures, compliance to regulatory requirements, emergency exercises (e.g., fire drills, first aid/CPR procedures, etc.).

  • Act as audit for office security processes including checking office access, review and report on.

  • Business continuity support; act as the backup role for other administrative support functions.

  • In charge of processing invoices (PR > GR).

  • Complete yearly budget request for department.

Job Requirements

• At least 3 years of related Facilities Admin experience.
