Job Responsibilities:
- Lead and oversee the export shipping team, developing and executing strategies for continuous improvement in service quality and transit time performance.
- Collaborate directly with the Executive Chairman and Joint CEO to support both new and existing customers.
- Coordinate with the Import Shipping Manager to define and align departmental KPIs.
- Manage and maintain ISO9001 documentation and compliance standards.
- Train, mentor, and enhance the performance and output quality of the export shipping team.
- Possess strong knowledge of import/export operations and customs regulations, ensuring all permit declarations comply with Singapore and international (e.g., Japan, Korea, Malaysia, Philippines, Middle East, Bangladesh) customs procedures.
- Oversee vendor relationships with hauliers, transporters, and related service providers.
- Negotiate competitive freight rates with forwarders and manage vessel bookings.
- Prepare and manage full sets of shipping documents, including invoice, packing list, bill of lading, certificate of origin, insurance, and other required certificates; ensure legalization where necessary.
- Handle documentation according to Letters of Credit, ensuring full compliance with bank and customer requirements.
- Work closely with clients to develop efficient, customized logistics solutions.
- Manage customer service matters, including responding to inquiries, resolving complaints and disputes, and facilitating internal communication regarding shipments.
- Oversee daily freight forwarding operations and transaction processing.
- Coordinate inspections with the quality team and statutory authorities when required.
- Prepare and manage sales contracts, forecasts, and analytical reports to support planning and decision-making.
- Plan and track shipment schedules and logistics activities.
- Issue sales contracts and work orders in alignment with customer requirements.
- Negotiate free time extensions with shipping lines to optimize cost efficiency.
- Verify and approve charges related to warehousing, loading, and production packing.
- Carry out ad hoc tasks and responsibilities as assigned by the company.
Requirements:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, International Trade, or a related field.
- Minimum 10 years of experience in export/import shipping operations, logistics, or freight forwarding
- Experience handling Letters of Credit (LCs) and shipping documentation is essential.
- Familiarity with working across multiple countries/regions (e.g., Singapore, Japan, Malaysia, Philippines, Middle East, etc.).
- Strong knowledge of international shipping procedures, Incoterms, customs regulations, and freight documentation.
- Excellent negotiation skills, especially for freight rates and vendor contracts.
- Hands-on experience with ISO9001 documentation and audits.
- Strong analytical and reporting skills – ability to prepare forecasts and sales contracts.
- Able to handle and resolve customer complaints, internal disputes, and compliance issues professionally.
