A leading port management company in Singapore is seeking a Tender Coordinator to assist with drafting tender documents, coordinating activities, and maintaining records. The ideal candidate should have a diploma in a relevant field and at least 3 years of experience in tender management, along with knowledge of regulatory requirements. This role offers an opportunity to contribute to procurement activities and service improvements.
The Job
Assist in drafting and preparing tender documents, including collating scope of work, specifications, and evaluation criteria from relevant departments.
Coordinate tender administration activities such as publication, clarifications, and document compilation.
Maintain accurate tender records and ensure adherence to procurement policies and regulatory requirements.
Monitor and track vendor’s daily operational submissions (work schedules, checklists, service reports).
Review and verify vendor’s monthly performance reports.
Conduct site walkabouts and document observations for Manager’s review.
Follow up with vendors on rectification of service lapses.
Check supporting evidence for completed works and identify any non-performance.
Prepare deduction summaries for Manager’s endorsement.
Maintain records of completed maintenance activities.
Liaise with internal stakeholders to gather operational requirements for tenders or service improvements.
Assist in preparing meeting notes, status updates, and simple reports.
Coordinate with other departments to support conservancy-related initiatives.
Assist in tracking expenditure against budget for conservancy activities.
Maintain payment records and supporting documents.
Alert Manager of variances or unusual spending patterns.
Support the Manager in identifying and implementing process improvements.
Research on industry best practices, equipment, or methods relevant to conservancy.
Assist in trials or pilot initiatives for service enhancements.
The Requirements
Diploma in Engineering, Facilities Management, Business administration or related field
Minimum of 3 years of relevant work experience in tender management, conservancy, or quantity surveying
Understanding related regulatory requirement such as NEA, WSH, and public sanitation standards will be a plus
