Job description

JOB PURPOSE

Seniors' Community Service (SCS) is embarking on a renovation programme across multiple sites through to 2028, aimed at upgrading our facilities to create more functional and welcoming spaces for seniors and staff. The Executive/Senior Executive, Project will support the end-to-end delivery of these renovation and construction projects—coordinating teams, managing site activities, and ensuring timelines, budgets, and quality standards are met. The role also involves supporting procurement, contract administration, risk management, and effective stakeholder communication.

DUTIES & RESPONSIBILITIES

Project Execution & Coordination

  • Actively participate in all required meetings, including site visits and coordination sessions, to maintain alignment across stakeholders and support seamless project delivery.

  • Coordinate cross-functional teams to ensure timely and efficient project implementation.

  • Monitor progress, track deliverables, and drive issue resolution to meet goals within scope and budget.

  • Ensure all documentation, reports, and project records are accurate, current, and accessible.

Site Supervision & Quality Assurance

  • Conduct regular site visits to oversee execution, monitor workmanship, and ensure adherence to safety and regulatory standards.

  • Collaborate with contractors and consultants to address on-site challenges and maintain work quality.

  • Uphold compliance with internal policies and industry standards throughout project phases.

Stakeholder Engagement & Communication

  • Serve as the main point of contact between internal teams, consultants, contractors, and authorities.

  • Provide regular updates, facilitate meetings, and maintain clear communication to align expectations and drive engagement.

  • Build trusted relationships across all levels to support smooth project delivery.

Procurement & Contract Management

  • Facilitate procurement processes in alignment with organisational policies, supporting departments from tender preparation through to vendor selection.

  • Support the monitoring and administration of contracts, including variation orders, claims, and final accounts, in collaboration with relevant stakeholders.

  • Partner with vendors to ensure the smooth and timely delivery of goods and services, fostering positive and productive working relationships.

Project Planning & Development

  • Assist in shaping project objectives, scope, and deliverables to align with organisational goals and strategic direction.

  • Collaborate with teams to co-develop comprehensive project plans, including timelines, resource planning, and key milestones.

  • Support risk identification and proactively contribute to maintaining a dynamic risk register, including proposing practical mitigation strategies.

Project Closure & Handover

  • Facilitate the smooth close-out of projects by coordinating defect resolution, finalising documentation, and supporting the handover process to facilities or operations teams.

  • Contribute to post-project reviews and support efforts to enhance future project management practices through continuous learning and improvement.

QUALIFICATIONS

  • Diploma / Degree in Project Management or a related field.

  • Candidates with Diploma / Degree in Building, Construction Management, Civil Engineering, or a related field would be advantageous but not required

EXPERIENCE

  • Minimum 2-3 years of experience in project management, particularly in renovation, upgrading, or construction-related projects.

  • Candidates without prior experience are welcome to apply. Training and mentorship will be provided for suitable candidates.
