Job description:

The role of the Operations Executive (Clinic) is to assist the Operations Manager, designated clinic in charge, and HOD in administering the services, resources, and development of the Clinic under their care. They are to provide support in planning, coordinating, directing, and evaluating operational activities and resource utilization in the assigned area. The Operations Executive will also manage patient service associates to ensure efficient, cost-effective, and high-quality service to patients.

The executive plays a proactive role in supporting the clinic by actively planning, implementing, and managing initiatives and solutions to achieve set objectives.

Responsibilities
  1. Serve as the primary interface for the Clinic with staff of other disciplines and service functions to continuously improve care coordination for patients.
  2. Ensure efficient daily operations and process flow for the patient care journey. Analyze and help minimize operational bottlenecks throughout the patient journey.
  3. Respond to feedback and complaints from patients and customers.
  4. Manage service quality by setting standards, establishing, and meeting customer needs through process and workflow improvements.
  5. Analyze patient feedback related to services and implement solutions for service enhancement.
  6. Review and update clinic work processes, policies, operational procedures, and work instructions to ensure smooth and efficient operations.
  7. Coordinate and maintain clinic quality systems (e.g., JCI, ISO, IQEHS, PDS).
  8. Maintain, analyze, and evaluate records, reports, and statistics for administrative purposes.
  9. Manage and supervise Patient Service Associates in collaboration with Allied Health Professionals/HODs to deliver excellent customer service.
  10. Perform any other duties as assigned by HOD, Deputy, Director, or Manager of Operations.
Requirements
  • Bachelor's Degree in any discipline.
  • Proficiency in word processing, data management (e.g., Excel), and presentation tools (e.g., PowerPoint) is preferred.
  • Relevant experience in customer service or frontline operations is preferred.
