This is a 1-year contract full-time position (renewable).

Job Summary

Reporting to LSCM Manager, Malaysia and Singapore. The incumbent will be responsible for supporting customers on order processing, liaise with 3PL for delivery efficiency, managing customer inquiries, resolving issues and ensuring customer satisfaction. Ensure the full order lifecycle—from receipt to dispatch—ensuring accuracy, on-time delivery, and compliance. Liaise with forwarder / transporter on the logistic / shipment of incoming and outgoing goods in a timely manner.

Responsibilities

Outbound (Sales & Delivery Processing):

  • Coordinate with customers on order processing, liaise with 3PL(KWE) for delivery arrangements, billing to customers ensuring billing accuracy and timeliness etc
  • Serve as the primary point of contact for customers’ inquiries via phone; confirm delivery statuses and provide prompt resolutions to logistical or order-related issues
  • Conduct detailed primary checks on sales order discounts to ensure compliance with pricing and promotional policies
  • Prepare daily sales performance reports for management
  • Manage sales administration role to support sales team
  • Collaborate with production, quality, and logistics teams to implement corrective and preventive actions

Inbound Shipment Arrival:

  • Coordinate with 3PL(KWE) for shipment arrival from factories (Japan, Thailand, Indonesia, Taiwan, Europe and US) and to upload into Helix system
  • Monitor stock in-transit and maintain accurate shipment tracking database
  • Ensure sales are updated regularly on incoming shipment status
  • Coordinate with relevant functions to resolve problems regarding deliveries, cargo damage and complaints. Handle loss or damage and return goods if such discrepancies arise.
  • Direct trucking arrangement to align with sales team
  • Align Good in Transit recognition with Finance prior to closing
  • Other ad-hoc duties as and when assigned

Inventory Management

  • Liaise with 3PL to ensure accurate inventory, good inventory control and management
  • Responsible for weekly stock reconciliation vs 3PL inventory
  • Coordinate with technical team and 3PLs regarding damages stock and scrap activities
  • Prepare weekly and monthly DOT aging report for Sales/Finance/Business Planning
  • Monitor and review KPIs for service providers according to SLAs
  • Analysis and evaluation of 3PL to ensure cost optimization and effectiveness of function

Process Improvement

  • Identify opportunities to enhance customer service processes and supply chain operations, systems, and performance metrics
  • Investigate and resolve customer complaints and delivery issues through root cause analysis
  • Utilize data and KPIs to monitor efficiency and implement improvements that boost productivity and customer satisfaction

Team Development

  • Drive the corporate values & culture program to build organization culture

Requirements

  • Bachelor’s degree in business administration/management/supply chain management/customer service or its equivalent professional qualification
  • Min. 2 years’ relevant experience in the logistics industry and proven track records and experience in logistics, methodologies, terminologies, and intermediary trade matters
  • Proactive, independent, mature and responsible worker
  • Competent in MS Excel and Word
  • Familiarity with SAP is an advantage
  • Must be proficient in both writing and speaking in English. Other language(s) would have added advantage.
  • Possess strong interpersonal and communication skills
  • Excellent customer service level and support, with customer-oriented thinking standpoints
