What the role is:
We are seeking a highly motivated Executive to join our Human Resource Services team. As a key member of our organization, you will be responsible for managing and administering Human Resource Services for our service partners in areas such as Appointment, Deployment, Record Management, Benefits, Exit, Medical Screening, Learning, and Scholarship Services.
What you will be working on:
- Processing administrative Human Resource services for various client government agencies accurately and in a timely manner in accordance with standard operating procedures (SOPs), ensuring compliance with policies and relevant regulations.
- Administering HR services on recruitment, onboarding, pre-service appointments, in-service appointments, deployment, benefits, leave, medical screening, learning, scholarships, sponsorships, course administration, and exit administration.
- Preparing and issuing letters/emails and related documents.
- Conducting appointment formalities.
- Processing personnel records for new hires, in-service officers, staff movements within/across agencies, re-employed officers, and officers leaving service in the HR system.
- Administering signing of training agreements/scholarships deeds to officers.
- Undertaking administrative work such as document filing/retrieval and photocopying where necessary.
- Updating HR transactions in the HR system based on SOPs and submitting to HR Supervisor accurately and timely.
- Liaising with stakeholders to ensure timely resolution of operational issues.
- Liaising with external vendors such as training providers or medical screening providers.
- Attending meetings and sharing post-meeting updates.
- Compiling reports/submissions following established formats and SOPs.
- Carrying out periodic reviews and archiving file records regularly based on data policy.
- Exercising independent analysis and judgment according to SOPs and recommending courses of action when responding to Service Partners. Highlighting potential changes required to SOPs due to policy or business process changes.
- Providing excellent customer service and timely responses to service partners to address their queries.
- Working with assigned vendors related to the business process.
- Reviewing work processes and systems regularly and suggesting improvements for greater efficiency and effectiveness.
- Participating in the implementation of change management due to changes in HR systems, policies, or new technologies.
- Participating or volunteering in departmental, cross-departmental, and organizational initiatives, ad-hoc projects, or tasks as assigned.
What we are looking for:
We seek individuals passionate about transforming the delivery of Corporate Services for the Public Service. To succeed, you should possess:
- 1 to 2 years of experience in HR processing and handling HR systems (preferred); candidates without experience but with a good attitude and willingness to learn are welcome.
- Preferred studies in Business Administration or Human Resources.
- Strong judgment and analytical skills.
- Good attention to detail.
- Ability to work under pressure and meet deadlines.
- Effective communication and presentation skills.
- Ability to work independently and in a team.
- Strong stakeholder management and customer service skills.
- Logical and critical thinking abilities.
- Proficiency in Microsoft Office and familiarity with technologies like RPA, data analytics, AI, and tools such as Access, Macros, Power Query, VBA, Tableau, PowerBI is advantageous.
- Knowledge of HR/Payroll Software (Excelity Payroll, Workday, SAP) is advantageous.
- HR certification or experience is a plus.
