Job Description
We are looking for a detail-oriented and customer-focused individual to join our supply chain team as a Business Planning and Operations Executive. In this role, you will be the key link between our customers, commercial teams, and supply chain operations—ensuring seamless order processing, timely deliveries, and high service levels. You will manage trade documentation, monitor inventory readiness, and proactively collaborate with internal stakeholders to address service risks and support business priorities.
Responsibilities
- Trade and Order Management:
○ Receive, process, and monitor customer orders to ensure accuracy and timely fulfilment.
○ Prepare and validate trade documentation to support order execution and compliance.
○ Coordinate with warehouse and logistics teams to ensure efficient delivery of goods.
○ Track and verify shipping documents and delivery notes for completeness and accuracy.
- Customer Communication & Service:
○ Serve as the primary contact for customer’s supply chain-related inquiries.
○ Provide timely and professional communication via email, phone, and in-person interactions.
○ Resolve issues related to order status, delivery delays, or documentation discrepancies.
- Inventory & Availability Planning:
○ Review inventory availability and plan with sourcing team and commercial team to secure stocks fulfilment readiness.
○ Identify and escalate potential out-of-stock situations; manage backorders or substitutions where required..
- Cross-Functional Collaboration:
○ Partner closely with internal teams including supply planning, sales, logistics, and finance.
○ Proactively resolve issues and align on priorities to support needs.
○ Contribute to continuous improvement initiatives that enhance supply chain efficiency and customer satisfaction.
Job Requirements
- Bachelor's degree preferred, but other qualifications with relevant experience will be considered.
- Professional supply chain and customer service certifications will be an added advantage.
- Prior international trade and order management experience and at least 2 years’ experience, including handling international customer accounts.
- Preferably in a retail or consumer packaged goods environment.
- Previous experience directly communicating with customers in person, over the phone, and by e-mail.
- SAP experience related to SD and MM modules or EDI experience in relation to order processing. Experience using vendor replenishment systems with data management skills will be an added advantage.
- Proficiency in using tools such as Excel, SQL, Power BI, or other analytics platforms to extract and analyze data.
- Aptitude for managing multiple tasks, adjusting priorities to adapt to changing customer demands while maintaining a sense of urgency.
- Good Communication Skills: Proficient written and verbal communication skills, clarity in explaining problems and presenting ideas or solutions.
