Job description

Esplanade’s vision is to be a performing arts centre for everyone and it seeks to enrich the lives of its community through the arts. Community Engagement is at the heart of Esplanade’s mission – to entertain, engage, educate and inspire.

You will support the Community Engagement team in the delivery of several programmes and projects to reach out to communities-in-need and volunteers. The role will involve working with internal and external parties to plan and co-ordinate the successful execution of a range of activities. You will also support the team on department administration tasks to ensure smooth operations within the team.

The position requires a compassionate and empathetic individual who is sensitive to the needs of the community, possesses excellent interpersonal skills, and has strong administrative and organizational abilities. You must be able to work effectively under pressure, meet deadlines, and collaborate well in a team environment.

KEY RESPONSIBILITIES

Under the guidance and direction of your supervisor, you will be responsible for providing support for the administration, planning, logistical arrangements and the execution of various engagement programmes. These activities include but are not limited to:

Programme Management

  1. Assist in the planning, co-ordination and execution of a wide range of community engagement programmes, both onsite and offsite, ensuring they are delivered on time and within budget.
  2. Assist with the hosting of beneficiaries to ticketed as well as non-ticketed programmes at Esplanade.
  3. Manage all administrative tasks including preparing and maintaining all necessary records and reports for documentation purposes as well as managing photography and videography for archival.

Volunteer Programme

  1. Manage the engage@esplanade mailbox.
  2. Assist with the management and coordination of the volunteer programme, including but not limited to liaising with and supervising volunteers, maintaining records, organizing orientation and training sessions.

Learning Journeys

  1. Assist in co-ordinating Learning journeys for community and healthcare partners, including but not limited to planning guided tours and preparing customised presentation slides.

Administrative Support

  1. Provide administrative assistance, including preparing reports, maintaining records, handling correspondence and tracking budgets and KPIs.
  2. Assist in the preparation of documentation post-event reports and evaluations.
  3. Provide additional administrative support roles as required by the department.

KEY REQUIREMENTS

  1. Minimum Diploma / Degree Holder.
  2. At least 2 years relevant working experience.
  3. Extremely organized, meticulous, and self-motivated with a keen eye for detail.
  4. Ability to manage multiple tasks simultaneously and work effectively in a fast-paced environment.
  5. Strong interpersonal and communication skills.
  6. Strong command of English (both oral and written). Proficiency in a mother tongue, such as Malay or Mandarin, is an added advantage.
  7. Proficiency in MS Office applications (Word, Excel, PowerPoint).
  8. A genuine passion for community engagement and the arts.
  9. Ability to remain calm and think clearly under pressure.
  10. Sensitivity and tact when dealing with confidential or delicate matters.
