Job description

Job duties and responsibilities

We are seeking a highly skilled and proactive Executive Assistant to the CEO of a technology start up with offices in Singapore, Paris, and Montreal. This role demands excellent organizational skills, strong attention to detail, discretion, and the ability to handle complex responsibilities in a fast-paced environment. The ideal candidate will act as a trusted partner and extension of the CEO, enabling efficient decision-making and seamless day-to-day operations.

HR

General HR for recruitment process, assisting with onboarding & off-boarding, managing employee C&B, managing HR database, visa, insurances.

Communication with on-site and remote employees to support them

Legal

Coordination with Corporate secretaries of our three entities, assist on changes on corporate legal document, managing company contracts and docusign

Provide support, liaison and communicate with investors, shareholders

Administration

Administration management of Singapore, Paris, and Montreal offices, and related third parties service providers

Support to check validity of expenses claims format and content

Maintain and update company policies and documentation

Project Support:

Assist with strategic projects, research, and the preparation of reports, presentations, and board materials.

Required qualifications

Education

Bachelor’s degree in business administration, communication, law, HR or related discipline.

Experience

Min 3 years working experience as HR or as executive assistant

Knowledge, Skills and Abilities

Strong organisational, communication and multitasking skills.

Ability to think strategically, act with discretion, and make decisions independently.

Fast learner, Flexible and adaptable to changing needs and priorities.

Curiosity, empathy, and openness to other cultures

Proficient in Microsoft suite, and AI tools
