Job summary

A prominent company in Singapore is seeking an Executive Assistant to support the CEO in various administrative tasks. This role involves managing the CEO's calendar, handling urgent requests, and serving as a liaison between the CEO and clients. Ideal candidates will have at least 2 years of experience in a similar role, possess excellent communication skills, and demonstrate a high level of professionalism and discretion.

Qualifications

  • At least 2 years of full secretarial support to management level.
  • Ability to work autonomously and handle sensitive information.
  • Strong relationship skills and comfortable with all organizational levels.

Responsibilities

  • Maintain CEO’s calendar and schedule meetings.
  • Act as the point of contact between the CEO and clients.

Job description

  • Work directly with the CEO to support all aspects of his daily work routine.
  • Maintain CEO’s calendar, including scheduling meetings, appointments, speaking engagements, business travel arrangements.
  • Handle urgent requests and changes in relation to meetings with CEO.
  • Act as the point of contact between the manager and internal/external clients
  • Screen and direct phone calls and distribute correspondence
  • Handle requests and queries appropriately
  • Attend meetings and take minutes / notes of discussion.
  • Other additional and / or alternative duties as assigned from time to time, including supporting other team members or Executives as needed.
  • Source office supplies
  • Maintain and upkeep stationery and quantities of Corporate Materials and Letterheads
  • Produce reports, presentations and briefs
  • Devise and maintain office filing system
  • To prepare meeting materials, equipment & refreshments for guests
  • Assist in general administration matters and IT matters
  • Report Manpower strength
  • Assume some human resource tasks
  • Assist in all other HR and administration projects/events

Requirements :

  • At least 2 years of experience providing full secretarial support to management level and a team.
  • Ability to multitask and prioritise tasks
  • Driving license - preferred
  • Able to travel
  • Resourceful, adaptable and hands-on
  • Attention to detail
  • Great verbal and written communication skills
  • Professional discretion and able to maintain confidentiality at all times, highly trustworthy
  • Able to build a network with client and key stakeholders.
  • Able to work autonomously and handle sensitive, confidential and non-routine information
  • Self-starter with excellent anticipation skills; problem solving; follow up
  • Strong relationship skills and comfortable working with people at all organizational levels
  • Ability to navigate in a constantly growing environment
