Job description

Roles and Responsibilities

  • Coordinate office calendar, including sending and accepting electronic invitations, reminders, and preparation for scheduled events
  • Ensure the effective and professional handling of incoming and outgoing correspondence, emails, and telephone calls
  • Prepare expense reports and reconciles credit card statements
  • Coordinate travel booking and relevant arrangement
  • Support preparation of meeting materials
  • Attend management, department, and team level meetings and records minutes
  • Provide periodic coverage of reception, work effectively with other assistants & other department members
  • Other duties as generally an executive assistant is required
  • Manage office records in administration, such as contacts, organization chart, and completing and storing confidential documents
  • Manage office administration
  • Monitor & report expenditures & utilization of personal/department entertainment & travel budget
  • Manage the company’s memberships, affiliations, company car & its lease
  • Perform other duties as required

Requirements

  • Diploma in Business or relevant discipline
  • Minimum 3 years of relevant experience as an executive assistant but candidates without experience are welcome to apply
  • Able to work under pressure in a fast-paced environment
  • Certification of proficiency in Microsoft Office suite (including Outlook, Word, Excel and PowerPoint) required
  • Strong verbal and written communication skills
  • Working knowledge of Adobe Creative Suite (for newsletter production)
  • Knowledge about the Health, Safety, Environmental Protection and Quality Policy, and the responsibilities under the Environmental Management System (EMS) highily advantagepus
