Roles and Responsibilities
- Coordinate office calendar, including sending and accepting electronic invitations, reminders, and preparation for scheduled events
- Ensure the effective and professional handling of incoming and outgoing correspondence, emails, and telephone calls
- Prepare expense reports and reconciles credit card statements
- Coordinate travel booking and relevant arrangement
- Support preparation of meeting materials
- Attend management, department, and team level meetings and records minutes
- Provide periodic coverage of reception, work effectively with other assistants & other department members
- Other duties as generally an executive assistant is required
- Manage office records in administration, such as contacts, organization chart, and completing and storing confidential documents
- Manage office administration
- Monitor & report expenditures & utilization of personal/department entertainment & travel budget
- Manage the company’s memberships, affiliations, company car & its lease
- Perform other duties as required
Requirements
- Diploma in Business or relevant discipline
- Minimum 3 years of relevant experience as an executive assistant but candidates without experience are welcome to apply
- Able to work under pressure in a fast-paced environment
- Certification of proficiency in Microsoft Office suite (including Outlook, Word, Excel and PowerPoint) required
- Strong verbal and written communication skills
- Working knowledge of Adobe Creative Suite (for newsletter production)
- Knowledge about the Health, Safety, Environmental Protection and Quality Policy, and the responsibilities under the Environmental Management System (EMS) highily advantagepus
