The Opportunity
- Focus: Calendar management, Claim Expense submission and End to end travel arrangement
- Office location: West, Mapletree Business City
- Working hours: Office Hours - 3 days Tuesday, Wednesday and Thursday
- This role will start off a contract position (Part Time)
The Talent
- Preferably min 5 -7 years of experience in closely related role under pharmaceutical or healthcare industries as EA
- Calendar management, Claim Expense submission and End to end travel arrangement
- Ability to adapt and handle any travel-related emergencies or issues that may arise during trips, providing assistance and solutions to ensure the safety and well-being of travelers.
The Job
- Calendaring management
- Coordinate and manage all aspects of travel arrangements for team members, ensuring smooth and efficient travel experiences.
- Assist with travel logistics, including booking flights, hotels, transportation, sourcing of lunch/dinner venues and other arrangements for team members.
- Research and stay up-to-date on visa requirements for various countries, including understanding documentation, application processes, and timelines.
- Advise travelers on visa requirements and assist with visa applications, ensuring all necessary documents are prepared and submitted accurately and on time.
- Communicate with embassies, consulates, and visa processing centers to track the status of visa applications and resolve any issues or delays.
- Collaborate with travel agency (not limited to airlines and accommodation providers) to book flights, hotels, transportation, and other travel-related services.
- Create and maintain comprehensive travel itineraries and schedules for all travelers, including managing changes and cancellations as needed.
- Provide guidance and support to travelers regarding travel policies, procedures, and best practices.
- Handle any travel-related emergencies or issues that may arise during trips, providing assistance and solutions to ensure the safety and well-being of travelers.
- Maintain accurate records of travel expenses, invoices, and receipts, and prepare reports as needed.
- PO creation and follow-up on invoice management.
- Assist with meeting room bookings and meeting preparation when necessary.
