Be part of a critical team that ensures smooth and efficient operations within the Department.


Our client is seeking a meticulous and proactive individual to join their healthcare operations team. As a Executive Assistant, you will provide key administrative, procurement, billing, and operational support to the department, contributing to high standards of patient care and operational excellence.

Key Responsibilities:

Procurement & Supplies Management

  • Manage OT supplies and equipment procurement, including quotations, purchase requests, and invoice processing

  • Monitor inventory levels, usage patterns, and coordinate with vendors for top-ups and PO extensions

  • Track and manage OPEX/CAPEX utilization

Billing & Charging Support

  • Verify and ensure accuracy of surgery charges in the billing system

  • Liaise with clinical teams, vendors, patients, and Business Office to resolve billing discrepancies

IT Systems & Operations Support

  • Provide first-level support for OT IT-related issues and escalate where necessary

  • Maintain OT dashboards and charge codes within OTRS

  • Report faults and follow up with relevant parties

Administrative & Roster Coordination

  • Assist in OT roster preparation and compile operational statistics

  • Support patient feedback resolution and update of SOPs

Requirements:
  • Diploma in Business, Healthcare, or related disciplines

  • Training will be provided for candidates without prior experience. Candidates with at least 1-2 years of relevant administrative or operational experience may be considered for more senior appointments

  • Proficient in Microsoft Office and comfortable with systems and databases

  • Strong organizational, problem-solving, and communication skills

  • A team player with the ability to work independently and multi-task under pressure
