Job description

Wilson is partnering exclusively with a global asset management company to identify an experienced Executive Assistant/Office Manager for their team based in Singapore. Reporting to the Managing Director and supporting a team of executives, you will be responsible for the end to end administrative functions as well as office management.

Key Responsibilities:

  • Oversee all administration and back-office tasks including day-to-day operations including ordering office supplies, maintenance of office equipment and facilities, invoice payment and claims administration
  • Manage the diary and travel management for the team, arrangement transport and accommodations particularly during investor road shows.
  • Administrative support on matters such as maintaining the team leave balance tracker and business expense reports.
  • Ownership of all back-office and middle-office Distribution Team stakeholders and work closely with overseas counterparts across the marketing, client services, operations, legal & compliance teams
  • Maintain and update CRM system using Salesforce
  • Provide support to the marketing department during roadshows, events, taking down briefing notes, packing and delivery of marketing collaterals and premiums
  • Be readily available to provide ad hoc project support when required

Key Requirements:

  • Qualified Degree or Diploma holder with minimum of 5 years experience as an Executive Assistant or Office Manager, ideally from the Asset Management or other financial services companies is preferred
  • Experience in diary/calendar and travel management, overall office administration, assisting with marketing related matters and attending to other administrative scope of work
  • Excellent communication skills in English, and fluency in other additional languages would be highly desirable
  • Solid multi-tasking skills with an ability to effectively communicate with both internal and external parties in a polished and professional manner
  • Possess good sense of maturity to engage with C-suite level stakeholders, topped with the ability to work under pressure and in a fast-paced environment
  • Able to work in an ambiguous environment, have strong attention to details and able to problem solve and operate independently without supervision
  • Consistent in practicing highest standards of ethical and professional conduct whilst meeting the expectations of the team at all times
