Job description

Responsibilities

  • Manage the diary and meeting schedules with internal/external stakeholders, such as organizing meeting venues/video conferences and confirming appointments a few days prior to meetings.

  • Maintain existing database of client information.

  • Prepare financial summaries for clients to support insurance planning and annual policy reviews.

  • Act as a key contact point between internal and external stakeholders, arrange meetings as appropriate, and maintain good communication and relationships.

  • Manage emails and texts professionally, re-direct or take messages and proactively deal with issues in a timely and efficient manner.

  • Ad-hoc travel arrangements for local and international trips, such as travel itinerary, visa application, flight bookings, hotel accommodation and transportation arrangements.

Requirements:

  • Diploma or equivalent.

  • Experience in an Administrative or Executive Assistantrole, with knowledge of the insurance industry being advantageous.

  • Proficiency in Microsoft Office suite and other office management software.

  • Excellent communication skills, both written and verbal, with a strong customer service orientation.

  • Independent and resourceful with effective time management in a fast-paced environment.

  • Meticulous and highly attentive to details.
