Job description

The Executive Assistant will be responsible for managing executive schedules, facilitating communication, coordinating critical projects, and ensuring smooth operational support for the Director’s office.

Key Responsibilities:

  • Provide high-level administrative assistance to Company Director including managing calendars, scheduling meetings, preparing reports, and handling confidential information.
  • Organize and prepare materials for executive meetings, including agendas, minute-taking, and follow-up on action items.
  • Coordinate travel itineraries and event schedules for the senior management.
  • Organize corporate travel arrangements, including flights, accommodations, and itineraries.
  • Act as a primary point of contact between the executives and both internal teams and external stakeholders.
  • Oversee day-to-day office operations, ensuring a smooth, productive working environment.
  • Manage office supplies, vendor relationships, and general office maintenance to ensure facilities are in optimal condition.
  • Plan and execute corporate events such as company meetings, team-building activities, and industry-related events.
  • Other adhoc duties assigned by the management.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • Minimum 5 years of experience as an Executive Assistant, with experience in office management and corporate events.
  • Prior experience managing administrative or project support staff in the construction, design, or engineering industry is a plus.
  • Strong organizational, time management, and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Excellent verbal and written communication skills.
  • Flexible, adaptable, and able to juggle multiple priorities with efficiency.
