Job summary

A leading company is seeking an Executive Assistant to support the Managing Director (MD). You'll coordinate the MD's calendar, manage communication, handle confidential documents, and assist in project tracking. The ideal candidate has an Office Management degree and substantial experience supporting C-level executives.

Qualifications

  • Proven experience as an Executive Assistant or equivalent role supporting senior management.
  • Advanced knowledge of Microsoft Office Suite and office productivity tools.
  • Skills in managing confidential information and good minute-taking ability.

Job description

Key Responsibilities:

Email & Calendar Management

  • Oversee the Managing Director’s (MD) calendar with accuracy, coordinating meetings, appointments, and travel logistics to ensure effective use of time and alignment with priorities

  • Monitor, prioritize, and manage incoming emails; draft responses or delegate as necessary to ensure timely and appropriate communication

  • Handle phone inquiries and correspondence, ensuring urgent or high-priority matters are addressed promptly

  • Maintain organized and up-to-date records using digital tools, managing both electronic and physical files with precision

Stakeholder Coordination

  • Act as the central communication point for internal teams and external partners, responding to queries and directing requests to appropriate parties

  • Ensure seamless communication between management and departments to support alignment on goals and initiatives

Confidential Information Management

  • Handle sensitive business, financial, and personnel information with discretion and confidentiality

  • Provide timely updates to the MD on urgent matters, prioritizing critical issues and ensuring necessary follow-ups are completed

Meeting Preparation and Documentation

  • Organize and circulate meeting agendas, presentations, and relevant materials in advance to support informed decision-making

  • Attend meetings to take thorough minutes, summarize discussions, and track follow-up actions to completion

Document Management

  • Keep both electronic and physical filing systems well-structured, updated, and easy to navigate

  • Draft, edit, and refine reports, presentations, and correspondence to uphold high standards of accuracy and professionalism

Executive Support

  • Assist the MD in tracking key project timelines, deliverables, and milestones to ensure objectives are met

  • Collaborate with various departments to gather information, compile updates, and support the advancement of ongoing initiatives

Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Office Management, or a related discipline

  • Proven experience in an Executive Assistant role or equivalent, supporting C-level or senior management

  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools
