Qualifications

Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Senior Vice President of Asia Pacific. APAC is a large and strategically important growth region for our organization, which is expanding through investment, with support and focus from senior colleagues at our HQ in the UK and elsewhere.

This role will also extend support to the Senior Leadership Team (SLT) across the region, spanning sales, marketing, editorial, and operational functions. This is an excellent opportunity for an experienced professional who thrives in a fast-paced, dynamic environment and is looking to make a significant impact in a key growth market.

What you’ll be doing:

Calendar & Communications Management
  • Orchestrating sophisticated calendar management for the SVP of Asia Pacific and APAC SLT, strategically prioritizing commitments and optimizing time allocation across multiple time zones
  • Serving as the primary gatekeeper, intelligently triaging incoming communications, enquiries, and requests with sound judgment and discretion
  • Managing high-volume email correspondence and digital communications, crafting professional responses on behalf of the SVP and others that reflect executive voice and organizational standards
  • Facilitating seamless stakeholder engagement by coordinating executive-level meetings and ensuring a polished, professional experience for all visitors
Global Travel & Event Management
  • Designing and executing complex, multi-leg travel arrangements across the Asia Pacific region, including visa facilitation, accommodation, ground transportation, and contingency planning
  • Providing on-the-ground executive support during critical business travel, including real-time meeting documentation, presentation assistance, and logistical coordination
  • Orchestrating end-to-end event logistics for regional conferences, leadership summits, advisory boards and corporate gatherings, ensuring flawless execution and optimal stakeholder experience
Strategic Project Leadership & Business Acumen
  • Leading high-priority projects as designated by the SVP and APAC SLT group, demonstrating ownership and delivering measurable outcomes
  • Assuming delegated management responsibilities and partnering with senior leadership on mission-critical regional initiatives
Cross-Functional Partnership & Stakeholder Management
  • Building and maintaining strategic relationships with key stakeholders across sales, editorial, and operational functions throughout the Asia Pacific region Collaborating seamlessly with the global Executive Assistant network, particularly UK and China based colleagues, to ensure unified support for the Executive Management Team Serving as a trusted liaison between the SVP's office and various departments, facilitating information flow and enabling organizational agility
Operational Excellence & Business Intelligence
  • Devising and implementing streamlined systems, leveraging contemporary tools for data management, document control, and workflow optimization
  • Developing executive-ready deliverables including strategic briefing materials, analytical reports, data visualizations, and presentation decks that drive informed decision-making
  • Ensuring comprehensive meeting preparation through meticulous agenda development, stakeholder identification and profiling, pre-read distribution, and post-meeting action item tracking
  • Conducting strategic research and competitive intelligence gathering, synthesizing complex information into actionable insights and executive summaries
Qualifications

What we're looking for:

  • Experience assisting senior management in a fast-paced corporate environment
  • Relevant experience and secretarial and administrative knowledge, with a proven track record of supporting C-suite or senior executives
  • Strong project management skills with the ability to manage multiple priorities simultaneously
  • Understanding of the Asia Pacific business landscape and cultural nuances is highly desirable
  • Exceptional written and oral communication skills with the ability to represent the SVP and APAC SLT professionally in all interactions
  • Excellent word processing and IT skills, including advanced knowledge of MS Office suite and other relevant software packages
  • The ability to work under pressure and to tight deadlines, maintaining composure and delivering high-quality work
  • The ability to research, digest, analyse and present material clearly and concisely to support executive decision-making
  • Excellent interpersonal skills and the ability to build positive relationships with stakeholders at all levels
  • The ability to work on your own initiative, demonstrating proactive problem-solving and sound judgment
  • Honesty and reliability with a strong sense of professional integrity
  • Attention to detail ensuring accuracy in all work outputs
  • Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines when required
  • Cultural sensitivity and awareness, with the ability to work effectively across diverse markets in the Asia Pacific region
  • Proficiency in Mandarin would be desirable to facilitate work with colleagues in China

Location:

  • This role is only open to candidates in Singapore,you must have the right to work and live in Singapore.
  • The successful candidate will be able to utilise our balanced working model. We ask that candidates live within acommutable distance of our Singapore office, to ensure that as a balanced worker they can make it to our office locations to collaborate as required. There isan expectation for a minimum of 3 days per week in-person time.
