We are seeking a highly organized and efficient temporary Secretary to cover an 8 month maternity leave period, ensuring the smooth and efficient operation of our office. This is a fixed-term role, ideal for an individual who can quickly adapt to new environments and manage multiple tasks effectively.
Key Responsibilities:
- Efficiently manage the GM's calendar, including scheduling meetings and coordinating with internal and external stakeholders.
- Plan and organize travel arrangements, including booking flights, accommodations, and transportation.
- Ensure the GM is well-prepared for meetings with all necessary materials and information.
- Coordinate and prioritize meeting requests, ensuring optimal time management.
- Prepare, submit, and track expense reports for the GM.
- Facilitate the onboarding process for new hires, ensuring a smooth and welcoming integration into the team.
- Coordinate the offboarding process, ensuring all necessary steps are completed.
- Assist in the preparation of departmental reports, presentations, and correspondence.
- Organize and coordinate meetings, including setting agendas, taking minutes, and following up on action items.
- Provide general administrative support to the GM.
- Handle ad hoc requests and special assignments as needed.
- Continuously seek opportunities to improve administrative processes and efficiencies.
- The role may also involve supporting additional senior leaders on an as-needed basis.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Able to commit from mid June to end January 2026.
- Exceptional organizational and time-management skills.
- Strong attention to detail and ability to multitask.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Experience in managing travel arrangements and expense reporting.
- Familiarity with onboarding and offboarding processes is a plus.
- Ability to work independently and take initiative.
- Strong problem-solving skills and a proactive approach.
