Job Description - Executive Assistant
· Responsible for information communication between ED, SLT and Site Managers
· Meeting coordinator/host for all meeting types involving Executive Director (ED) & Senior Leadership Team (SLT)
· PIC of presentation decks for Executive Director and Central team (Townhall sessions & management meetings)
· Central coordinator of documents for ED’s approval/ signatory
· ED & SLT calendar management
· Travel and logistical arrangement for all employees in SG sites and guests of SLTs, includes security clearance (VCS) for Global Trade compliance
· Corporate mobile phone & vendor (Singtel) management
· Screen and respond to incoming correspondence, inquiries and phone call
· Expatriate benefits administration management for car, housing, children education etc.
· Dotted line manager of 2 Site Operation Administrators (Bedok & Changi)
· EnableMe system Administrator
· Stationery and Taxi card management
· Culture Council committee member, provide support to the council when required
· Logistical support for events when required
· Travel may be required to support ED/SLT
· Any other work tasks as required by ED
Requirements
Successful candidates for this position should demonstrate:
Independence: Strong ability to work independently and complete assigned tasks without constant supervision. This includes making informed decisions, proactively identifying and addressing tasks, and finding necessary resources when needed.
Ownership: The individual should be capable of problem-solving and take ownership of the quality and timeliness of their work with a strong sense of urgency.
Adaptability: The ability to adapt to changing priorities and handle unexpected situations. The position is required to assist with a wide range of tasks, flexibility is key.
Confidentiality & discretion: The incumbent is required to maintain high discretion, strict confidentiality and detailed knowledge of the organization’s operations, procedures and people.
Technical Proficiency: Intermediate skill level of MS Excel and Powerpoint are required; data consolidation, organization and some analytics will be needed.
Candidates should ideally have 5 years of experience in a relevant role in a fast paced organization.
Contract is for 2 years and renewable.
