An established industry player is seeking a dedicated Executive Assistant to support the APAC Chief Executive Officer and the Asia management team. This role is crucial for maintaining a well-organized office environment and ensuring efficient operations. Provides executive-level administrative support to the APAC Chief Executive Officer and the wider Asia management team. Responsibilities include comprehensive management of office organization, ensuring efficient and effective workplace operations. This role encompasses a broad range of administrative and organizational tasks to facilitate the smooth functioning of the executive team and the Asia region operations. The Executive Assistant is responsible for maintaining a well-organized and professional office environment
RESPONSIBILITIES
Management Support
Managing multiple projects as assigned by the reporting manager related to the different business activities.
Consolidating data from countries in Asia as assigned by the reporting manager.
Working closely with other team members to ensure CEO’s preparation for meetings, presentations or other engagements.
Coordinating of calendar, travel, meeting, and scheduling arrangements for the Business Asia Region team, staff, and business partners. Includes initiating contact and securing appointments, logistics, and facilities as appropriate.
General Office Support
Taking charge of general administration and functional activities for the Singapore office, which includes
office and equipment management, ie. maintenance, works, upkeep and supplies
support on courier arrangement, office event coordination for staff
arrange incoming or outgoing business trips for staff, ie. Invitation letters, hotel booking
managing company vehicles, ie. arrangement of car maintenance with appointed car workshop, ensuring vehicles are sent for inspection and coordinate for the yearly renewal of motor insurances and road tax
invoice payment process coordination to be submitted to Finance
HR Administration
New joiners’ office desk preparation, ie. Phone line, computer, stationery, etc.
Training logistics management
Filing
Corporate mobile phone line application and renewal management
Petrol card application and management
REQUIREMENTS
Minimum 5 years’ relevant experience supporting senior management level
Solid communication (written and verbal), interpersonal and organizational skills
Meticulous with the ability to multi-task, prioritise and work under limited supervision in fast paced environment
Self-motivated, independent person with integrity and discretion
Proficient in MS Office (Outlook, Word, Powerpoint, Excel)
