The Executive Assistant (EA) to the Group CEO of ICF Group plays a pivotal role in supporting the CEO in leading a global marine interior fit-out company. This role goes beyond typical administrative support and requires a blend of strategic thinking, operational agility, confidentiality, and excellent interpersonal skills to ensure the CEO's time, communication, and priorities are effectively managed.
Key Duties and Responsibilities :
1. Executive Support
- Manage the CEO’s calendar, scheduling meetings, travel, and appointments across time zones.
- Prepare briefing materials, agendas, and reports for internal and external meetings.
- Screen and prioritize emails, reports, calls, and documents for the CEO’s attention.
- Draft professional correspondence, internal memos, presentations, and proposals.
2. Strategic Coordination
- Support execution of CEO-level strategic initiatives, board preparations, and business planning.
- Coordinate high-level meetings with clients, investors, government stakeholders, and partners.
- Assist in research and data gathering to support strategic decision-making.
- Act as a liaison between the CEO and internal teams, ensuring clear communication and follow-ups.
3. Confidential Administration
- Handle sensitive information with the highest level of confidentiality and discretion.
- Ensure the CEO is briefed and prepared ahead of meetings and travel.
- Maintain accurate records of key business decisions and action items.
4. Project & Event Management
- Track deadlines and progress on high-impact projects involving the CEO.
- Plan and support events, business missions, industry engagements, and board sessions.
- Represent the CEO’s office in project coordination and vendor interactions when necessary.
5. Communications and Branding
- Coordinate and align CEO’s messaging for speeches, interviews, articles, and public statements.
- Support internal communication efforts including newsletters and strategic updates.
- Manage the CEO’s presence on LinkedIn and other industry platforms (Will get Audrey to update on this)
Preferred Qualifications & Background :
- Bachelor’s degree in Business Administration, Communications, or related fields.
- Minimum 5–7 years of experience supporting C-suite executives, preferably in a global or marine/offshore industry.
- Familiarity with corporate governance, stakeholder engagement, and operational workflows in project-based businesses.
