Job Description

We are looking for an Executive Assistant to provide administrative and organizational supportto thesenior leaders of theAPAC Talent Solutions leadership team. In this role,you’llwork directly withour Director and SeniorDirectors andwillbe responsible fora mix of administrative and operational activities. The ideal candidate will be proactive, organized, able tomaintainstrict confidentiality of corporate and personal information, and bring a blend of professionalism,passionand flexibility to the role.

Responsibilities:

  • Plan, organize and manage executive calendar (resolve conflicts and protect / align time with priorities)
  • Organize and ensure content preparedness for internal and external meetings andspecial events, including all hands, speaking engagements, customereventsand team building
  • Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction
  • Anticipate critical rhythm of the business initiatives and manage changes effectively
  • Coordinate all domestic and international travel arrangements
  • Manage and reconcile expense reports, purchaseordersand procurement requisitionsin accordance withbudget and department and company-wide policies and standards
  • Collaborate closely with multiple internal key stakeholders to ensure the smooth daily operations
  • Partner with communications and public relations teams and others on company-wide and external communications
  • Provide back-up support for other executive assistants when needed and champion the admin community, such as partnering closely with Exec EA team to lead global Admin all hands meetings
  • Proficiently answer, screen and route internal and external correspondence, requests,subpoenasand other communications
  • Act as a point of contact with workplace services to meet facility needs for the team
  • Take leadership role to improve structure, efficiency, and execution of the organization
  • Drive changes in systems,toolsand processes, andestablishand share best practices
  • Maintain an advanced degree of confidentiality along with excellent judgement,discretionand a high degree of maturity/professionalism
Qualifications

Basic Qualifications:

  • 5+ years of experience working at a senior and/or executive administrative level with at least 5 years of experience supporting VP+
  • Advanced knowledge of MS Office (Outlook, Word, PowerPoint, Excel) and familiarity with cloud-based applications (SharePoint)

Preferred Qualifications:

  • Experience working as a trusted business partner to a c-suite level executive
  • Thrives in a fast-paced, demanding environment anddemonstrateability to manage time, prioritize tasks and work within deadlines
  • High operational ability to execute quickly with strong attention to detail and accuracy
  • Excellent communication (written and verbal), analytical and organizational skills
  • Ability to professionally interact with senior leaders and external stakeholders, andanticipatetheir needs whiletaking actionindependently
  • Demonstrates ability to be proactive, take initiative, and exercise good judgment,discretionand confidentiality in all tasks
  • Consistently able to solve complex problems after in-depth evaluation of variable factors through resourcefulness, adaptability, and creativity
  • Collaborative spirit with ability to act as a team culture steward and build relationships, mentor and work effectively across Exec Admin team at LinkedIn
  • Demonstrates excellent understanding of how an organizationoperatesacross functions
  • Demonstrates ability inutilizingsocial media for brand or talent engagement, with basic competency in video editing for digital content support.
  • Ability to set up and manage virtual meetings via MS Teams and Zoom
