Job description

Responsibilities and Duties:

  • Provide full spectrum of secretarial and administrative support to Directors.

  • Assist Directors to conduct market research and marketing/sales activities.

  • Handle all private and confidential matters of the Directors.

  • Assist in incoming calls, answering queries, replying to emails and redirecting calls daily.

  • Collate Directors’ expense claims and submission of claims monthly.

  • Organize and schedule internal / external meetings and company functions

  • Maintain proper filing system, including data management and file sharing for the Directors

  • Attend to visitors of all levels

  • Translation works (English to Chinese and vice versa)

  • Serves customers by providing or resolving product and service information.

  • Resolves product or service problems by clarifying the customer’s complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem, expediting correction or adjustment, and following up to ensure resolution.

  • Communicating with customers through various channels.

  • Coordination with external and internal parties on work progress

  • Perform any other ad-hoc administrative tasks and duties assigned by Directors or Management.

Job Requirements:

  • Experience in a PA, Secretary or similar role

  • Ability to multi-task and manage workload/time effectively with excellent follow-through, pay attention to quality and details, with a high sense of urgency

  • Great interpersonal and communication skills in both English and Mandarin to liaise with clients/colleagues

  • Good team player and able to work independently
