Purpose of the Role:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to our EVP of Corporate Strategy & Business Development. This role is critical in ensuring seamless operations, managing complex schedules, coordinating high-stakes meetings, and acting as a trusted liaison between the EVP and internal/external stakeholders.

Expectations of the Role:

Executive Support & Calendar Management

  • Proactively manage the EVP’s calendar, scheduling, and prioritization of meetings, ensuring optimal time allocation for strategic priorities.

  • Coordinate internal and external meetings, including board meetings, leadership discussions, and partner engagements.

  • Anticipate scheduling conflicts and resolve them efficiently, keeping the EVP informed of changes.

Communication & Stakeholder Liaison

  • Serve as the primary point of contact for the EVP, screening and prioritizing emails, calls, and requests.

  • Draft, proofread, and edit emails, presentations, reports, and briefing documents with a high level of professionalism.

  • Facilitate smooth communication between the EVP and C-suite executives, investors, partners, and cross-functional teams.

Travel & Logistics Coordination

  • Arrange complex domestic and international travel itineraries, including flights, accommodations, visas, and ground transportation.

  • Prepare detailed trip briefs, agendas, and meeting materials for business trips.

  • Manage last-minute changes and troubleshoot travel disruptions.

Meeting & Event Coordination

  • Organize and prepare materials for leadership meetings, offsites, and strategy sessions.

  • Attend key meetings, take notes, and track action items and follow-ups.

  • Assist in planning high-profile corporate events, partner summits, and executive retreats.

Document Management & Strategic Projects

  • Maintain an organized filing system (digital and physical) for contracts, presentations, and confidential documents.

  • Assist in research, data analysis, and presentation development for strategic initiatives.

  • Support special projects, including M&A due diligence, partnership integrations, and market research.

Confidentiality & Discretion

  • Handle highly sensitive information (e.g., M&A discussions, partnership deals, executive decisions) with absolute confidentiality.

  • Uphold professionalism and diplomacy in all interactions.

Attributes Required:

Must-Have:

  • 5+ years of experience as an Executive Assistant supporting C-level executives.

  • Exceptional organizational and time-management skills—able to juggle multiple priorities in a fast-paced environment.

  • Mastery of productivity tools: Microsoft Office (Outlook, PowerPoint, Excel), Google Workspace, Teams, etc.

  • Superior written and verbal communication able to draft polished emails, memos, and presentations.
