Job summary

Une entreprise leader dans le secteur de la construction à Singapour recherche un(e) Personal Assistant pour soutenir le CEO et assurer un fonctionnement efficace du bureau. Le candidat idéal doit avoir une forte capacité d'organisation, des compétences en communication exceptionnelles, et être bilingue en anglais et mandarin. Il/elle sera responsable de la gestion des rendez-vous, de la coordination avec les équipes de projet, et de la prise en charge de diverses tâches administratives et stratégiques.

Qualifications

  • Minimum de 3-4 années d'expérience dans un poste similaire.
  • Capacité à travailler de manière indépendante et à gérer des priorités.
  • Bilingue en anglais et mandarin.

Job description

  • Manage the CEO's calendar, schedule meetings, and coordinate internal/external appointments and conference calls.
  • Serve as the main point of contact between the CEO and stakeholders, maintaining professionalism and discretion at all times.
  • Attend to personal errands and administrative tasks as required by the CEO
  • Maintain confidentiality and demonstrate sound judgment in handling sensitive matters.
  • Handle all travel arrangements, including flight bookings, hotel accommodations, visa applications, and transportation logistics.
  • Prepare and compile documents, presentations, meeting materials, and reports; ensure the Director is well-prepared for all engagements.

Office Administration

  • Support in enforcing and updating office policies, procedures, and administrative systems.
  • Ensure smooth day-to-day operations of the office, including maintenance of office equipment and coordination with service vendors.
  • Assist in planning and executing company events, meetings, and celebrations.

Industry-Specific Support (Construction)

  • Liaise with project teams and site personnel on behalf of the CEO when required.
  • Track construction project updates, deadlines, and key milestones to support the CEO's awareness and decision-making.
  • Preferably have prior experience in the construction or related industries to understand industry terminology and workflows.

Ad Hoc Tasks & Strategic Support

  • Take initiative to anticipate the CEO's needs and proactively resolve potential issues.
  • Undertake special projects or assignments, including basic research, data consolidation, or cost-saving proposals related to office and operational efficience

Requirements

* Minimum of 3-4 years of relevant work experience as a Personal Assistant or Secretary

* Outstanding organizational and time management / Good Communication skills

* Honest, responsible, good in problem solving skill

* An ability to multitask and prioritize daily workload

* Excellent Discretion and confidentiality

* Independent management capability, organizing ability and handling stress ability are

needed

* Bilingual in English and Mandarin to handle Mandarin Speaking Clients, Business Partners, Government and other organizations

* Proficient in MS Office, Excel spreadsheet and excellent computer & AI skills

* Able to work on alternate Saturday(s) and work irregular hours (including public holidays)
