Job description

Summary:

We are looking for a responsible EA/PA to perform administrative duties which include providing support to the Managing Partner and managing office tasks.


Responsibilities:

Senior members support

  • Coordinate and maintain partner’s schedules, including appointments and meetings.

  • Arrange travel logistics such as booking flights and hotels, planning itineraries, securing visas, organizing transportation, and managing travel-related reimbursements.

  • Assist in the preparation of materials for meetings and presentations.

  • Provide support for visiting team members.

Office management

  • Provide administrative assistance in handling day-to-day office responsibilities.

  • Liaise with vendors and suppliers, place orders upon approval and ensure timely delivery and coordination.

  • Ensure the office environment remains tidy, welcoming, and well-stocked at all times.

  • Maintain files and records.

  • Ensure office equipment functioning well.

  • Coordinate office relocation and decoration projects as needed.

  • Assist office bills settlement, organise and facilitate events, meetings etc

  • To assist in all other ad-hoc administration matters as and when required from team

Requirements:

  • 5 years of relevant experience

  • Proficiency in MS Office Suites is required

  • Good communication and interpersonal skills

  • Detail-oriented, responsible and proactive

  • Able to work independently with limited supervision

  • Handle confidential matters with care and execute sensitive assignments with a high level of discretion.

  • Strong organizational and multitasking abilities.

  • Bi-lingual is a plus (English and Mandarin) to effectively communicate with Mandarin-speaking clients.
