An exceptional opportunity has arisen for an Executive Assistant to support the Senior Vice President of a leading life-sciences organisation in Singapore. This pivotal role places you at the heart of the APAC regional leadership team, where your organisational skills and attention to detail will be instrumental in driving operational excellence across 16 diverse markets.

What You'll Do

As Executive Assistant to Senior Vice President, you will play an integral part in orchestrating daily operations for one of the most influential leaders in the APAC region. Your day-to-day responsibilities will see you expertly managing complex calendars, coordinating high-stakes meetings across different countries, and ensuring every detail is meticulously planned. You will be entrusted with confidential matters requiring discretion and professionalism while also taking ownership of budget tracking and contract administration. Your proactive approach will allow you to anticipate needs before they arise, whether it’s preparing for a major event or streamlining administrative tasks. In addition to supporting business objectives, you’ll have a unique opportunity to drive employee engagement initiatives as part of the social committee.   • Manage the Senior Vice President’s calendar with precision, proactively optimising time allocation and anticipating scheduling needs across multiple time zones.
  • Organise all aspects of management meetings including agenda preparation, follow-up actions, travel logistics, and alignment among regional teams and assistants.
  • Ensure seamless administration of meetings regardless of format—teleconference, videoconference, or face-to-face by handling logistics and technical requirements.
  • Respond promptly to internal and external queries, independently addressing requests from stakeholders while maintaining confidentiality at all times.
  • Oversee budget tracking for the SVP office by maintaining accurate expense reports and supporting financial planning activities.
  • Handle contract administration for both entity-related and employee-related agreements, ensuring compliance with organisational policies.
  • Coordinate with various stakeholders to facilitate SVP participation in events, meetings, and other key engagements across the region.
  • Identify opportunities to streamline administrative processes for the SVP office, implementing solutions that reduce workload and enhance efficiency.
  • Lead project management efforts for kick-off meetings by overseeing budgets, logistics, agendas, stakeholder communications, agency coordination, and meeting execution.
  • Play a leadership role within the APAC Social Committee by spearheading employee engagement events that foster a sense of community throughout the year.

  • Experience managing budgets for executive offices by tracking expenses accurately and supporting financial reporting requirements.
  • Familiarity with contract administration processes related to both corporate entities and individual employees within a regulated industry environment.
  • Ability to identify process improvement opportunities that reduce administrative burden without compromising quality or compliance standards.
