Overview

Your role

Are you a highly organized multitasker with a passion for ensuring smooth day-to-day operations? We’re looking for an Executive/Team Assistant who thrives in a fast-paced environment and can seamlessly manage a variety of responsibilities. In this role, you will:

  • manage calendars and schedule conference calls, track team vacations, and coordinate meetings
  • plan and execute staff events that foster engagement and collaboration
  • organize travel arrangements, including bookings, itineraries, and visa processing
  • support office operations such as ordering supplies, handling mail, and setting up conferences
  • prepare presentation decks, reports, and meeting materials
  • assist with financial processes including invoice management, expense tracking, and headcount reporting

Your Team

You’ll be working in our Global Wealth Management business division in Singapore, supporting Chief of Staff, SEA, Japan, India and Australia as well as the Head of Process Quality Specialist and Client Development Team.

Your Expertise
  • demonstrated success in administrative roles within fast-paced, large-scale organizations
  • skilled in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel
  • exceptionally detail-oriented, well-organized, and adept at managing multiple tasks simultaneously
  • strong written and verbal communication abilities
  • confident and comfortable engaging with colleagues across all levels of the organization
  • adaptable and consistently proactive with a positive, can-do mindset
