Paya Lebar Methodist Church is seeking a skilled and detail-oriented Executive (Administration) who brings strong administrative capabilities, a deep respect for compliance, and a heart for serving the church community. In this role, you will ensure smooth office operations and uphold regulatory standards in alignment with PLMC’s mission and values.
Key Responsibilities
️ Regulatory & Governance Support
- Provide strong support in compliance with the Charities Act, Commissioner of Charities (COC) requirements, and other statutory obligations
- Assist in preparing and submitting reports to regulatory authorities (e.g. Charity Portal)
- Work alongside the Governance Committee on internal controls, risk management, and audit follow-ups
Records & Information Management
- Support the implementation and maintenance of a Records Management System
- Maintain accurate and secure filing of documents, including meeting papers, reports, and member/volunteer data
- Assist in upholding PDPA compliance in data handling and record storage
Document Preparation & Reporting
- Assist in compiling and distributing materials for executive committee meetings, annual reports, and audited financials
- Ensure proper documentation practices for both internal and external communication
️ Office Administration & Operations
- Oversee day-to-day office operations, including inventory, supplies, mail, and scheduling
- Manage correspondence and filing systems to ensure smooth office workflow
- Provide consistent support to the team and other staff as needed especially for church-wide and church office events
- Assist with general administrative tasks
- Demonstrate a cooperative spirit and willingness to serve the church community
- Any other role, responsibilities and duties as required and assigned by the Director and Pastor-In-Charge
Requirements Qualifications and Skills
- Diploma or bachelor’s degree in business administration or a related field
- 2–4 years of relevant administrative or compliance experience, preferably in a church or non-profit setting
- Strong knowledge of Singapore’s regulatory frameworks (COC, PDPA, charity governance)
- Excellent organisational skills and attention to detail
- Strong communication skills (both written and verbal)
- Proficient in Microsoft Office applications (Word, Excel, Powerpoint, Outlook)
- High integrity and discretion in handling confidential information
Preferred Requirements
- Experience working in a Christian church context in Singapore
- Training or certification in PDPA compliance or governance
- Willingness to work occasional evenings or weekends for church meetings/events
