Job description

Executive, 1-Year Contract (Programme Administration) #NJH #University

Job scope:

  1. Programme Organisation: Organise executive programmes, online courses, customised in-house courses, public enrolment courses (Professional Development Courses), or customised events. Handle logistics such as venue scouting, catering, accommodation, social events, enquiry handling, course material preparation, and vendor management to ensure smooth programme execution.
  2. Manpower Planning: Plan, recommend, brief, and organise manpower (staff and helpers) for on-site event operations to ensure timely delivery of services.
  3. CRM Management: Process event details accurately in the Customer Relationship Management (CRM) System for proper tracking.
  4. Stakeholder Liaison: Coordinate with trainers, schools, lecturers, finance, and IT departments to facilitate smooth planning and execution of programmes.

2. Customer Satisfaction & Logistics: Manage all logistical aspects of courses and events, including application monitoring, updating course info in CRM, obtaining trainer documentation, liaising with facilities for classroom and equipment arrangements, accommodation, transport, and handling client/participant communications regarding visas and passes.

Coordinate with various departments for facility use, alumni networking events, and course materials. Prepare certificates, attendance lists, evaluation forms, issue invoices, monitor payments, handle enquiries, update course statuses, and maintain proper records.

3. Post-Training Administration: Update course databases, follow-up on outstanding matters, and ensure high customer service standards.

4. Ad-hoc Duties: Perform any additional tasks as assigned.
