Job description

As a member of Campus Infrastructure & Services, the Specialist will report to the Event Management Lead and be responsible for planning, managing, and coordinating virtual, hybrid, and in-person events such as graduation ceremonies, conferences, talks, dinners, and other special corporate events.

The Specialist will also be required to promote event management services to internal and external clients.

Responsibilities
Managing Corporate Events/Graduations/Conferences/Celebrations/External events on campus
  • Plan, organise, and implement events to ensure KPIs are met, with smooth liaison and delivery of events
  • Source, recommend, and manage venue bookings
  • Develop detailed action plans, circulars, admin programmes, and briefing notes for hosts and helpers
  • Source and manage event organizers and vendors for setup, logistics, catering, landscaping, etc.
  • Produce collaterals, banners, etc.
  • Handle enquiries and RSVPs
  • Prepare emcee briefing notes and stage scripts
  • Manage VIP invitations, attendance, and hospitality
  • Assist in recording graduates' names for audio projection during graduation
  • Conduct rehearsals and briefings
  • Hold planning and post-event review meetings and write minutes
Promote event management services
  • Partner with lease management to promote services to clients
  • Prepare and present event proposals to clients
  • Liaise with clients regarding event requirements
Requirements
  • A university degree with at least 4 years of relevant experience in event management, mass communication, or marketing
  • Experience managing corporate and marketing events, conferences, and exhibitions
  • Excellent planning, organizing, and implementation skills
  • Strategic and creative thinking abilities
  • Strong communication skills, with good writing and presentation abilities
  • A self-starter capable of working independently and multitasking
  • Attention to detail and commitment to continuous improvement
  • Good interpersonal skills and a team player
  • Ability to work under pressure and meet deadlines
  • A cheerful and pleasant personality with a good customer service record
  • Enjoys organizing events
  • Proficient with Microsoft Office
