Job description

SHRI is seeking a dynamic and highly organized Events and Membership Manager to join our team. This pivotal role is responsible for the successful planning and execution of all association events, as well as the strategic growth and retention of our membership base, fostering a vibrant community and advancing the HR profession. The ideal candidate will be a creative problem-solver, an excellent communicator, and possess a strong commitment to delivering exceptional member experiences.

Key Responsibilities:

Events Management (approx. 60%)

  • Event Strategy & Development
  1. Develop and implement a comprehensive annual events calendar, including conferences, workshops, webinars, networking events, and special projects, aligning with the association's strategic goals and member needs.
  2. Conduct needs assessments and gather feedback to identify relevant topics, speakers, and event formats.
  3. Research and identify potential venues, vendors, and partners for events.
  • Event Planning & Logistics
  1. Manage all aspects of event logistics, including venue selection and negotiation, catering, AV, registration, speaker coordination, materials production, and on-site management.
  2. Develop and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  3. Create detailed timelines, project plans, and critical path documents for each event.
  4. Coordinate marketing and communication efforts for events, including website updates, email campaigns, and social media promotion, in collaboration with the marketing team.
  5. Manage attendee registration and provide exceptional customer service.
  • Post-Event Evaluation
  1. Conduct post-event analysis, including attendee surveys, financial reconciliation, and performance reporting.
  2. Identify areas for improvement and implement best practices for future events.

Membership Management (approx. 40%)

  • Membership Growth & Retention
  1. Develop and execute strategies to attract new members and retain existing ones.
  2. Manage the full membership lifecycle, from initial inquiry to renewal.
  3. Oversee the membership database, ensuring accuracy and data integrity.
  4. Process membership applications, renewals, and payments.
  • Member Engagement
  1. Act as a primary point of contact for member inquiries, providing timely and professional support.
  2. Develop and implement member communication plans, including welcome kits, newsletters, and targeted outreach.
  3. Identify opportunities to enhance member value and engagement.
  4. Facilitate member networking and community building initiatives.
  • Reporting & Analysis
  1. Generate regular reports on membership statistics, trends, and engagement levels.
  2. Analyze data to identify opportunities for improvement and inform strategic decisions.

Qualifications:

  • Preferred Bachelor's degree in Marketing, Communications, Hospitality Management, Business Administration, or a related field.
  • At least 5 years of experience in event management, preferably within an association or non-profit environment.
  • At least 5 years of experience in membership management or customer relationship management.
  • Proven track record of successfully planning and executing a variety of events, from small workshops to large-scale conferences.
  • Experience with membership databases/CRM systems (e.g. GlueUp).
  • Strong project management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with email marketing platforms and social media management tools.
  • Ability to work independently and collaboratively within a team environment.
  • Exceptional interpersonal skills and a customer-centric approach.
  • Flexibility to work occasional evenings and weekends
  • Knowledge of HR trends and challenges.
