Job description

KEY RESPONSIBILITIES/ JOB DESCRIPTION

Event Planning & Coordination:

  • Assist the Events Manager in planning restaurant events, including private parties, corporate events, weddings, and other special occasions.
  • Liaise with clients to understand their event needs and ensure their vision is executed.
  • Help coordinate with internal teams, such as the kitchen and service staff, to ensure seamless event execution.

Client Communication:

  • Respond to inquiries about event services via phone, email, or in person.
  • Assist in preparing event proposals and agreements for clients.
  • Support event-related follow-ups, including client feedback collection.

On-Site Event Assistance:

  • Be present during events to assist with the setup, execution, and teardown.
  • Ensure client satisfaction by troubleshooting any issues that may arise during the event.
  • Support staff coordination, ensuring timelines and expectations are met.

Administrative Support:

  • Help maintain an organized system for event contracts, deposits, and invoicing.
  • Prepare event reports, which includes: guest count, menus, special requests and itinerary.
  • Manage event inventory, such as decorations, supplies, and other materials.

Marketing & Promotion:

  • Assist in promoting upcoming events via the restaurant’s social media channels, newsletters, and other marketing platforms.
  • Collaborate on the creation of event flyers and promotional materials.

Post-Event Evaluation:

  • Assist in gathering and analysing feedback from clients and staff to improve future events.
  • Help track event performance and success metrics.

REQUIREMENTS

  • While a degree in Event Management, Hospitality, Marketing, or a related field would be ideal for the role, it is not a strict requirement.
  • Strong interest in event planning and the hospitality industry.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Detail-oriented with strong organizational skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Willingness to work flexible hours, including evenings and weekends, as required by event schedules.
