A leading polytechnic institution in Singapore is seeking an Events Executive to support their Events team. This role encompasses end-to-end event management, ensuring successful execution of corporate and industry events through strategic planning, vendor management, and logistical oversight. The ideal candidate will have a strong background in event management, excellent communication skills, and a detail-oriented approach. Experience in managing multiple priorities in a fast-paced environment is essential.
The Events Executive will play a key role in supporting the Events team in planning, organising, and executing corporate and industry events. This position involves end-to-end event management, including strategic planning, vendor coordination, logistical oversight, and post-event evaluation to ensure seamless delivery and stakeholder satisfaction.
Key Responsibilities:
1. Strategic Planning and Coordination
• Collaborate with internal stakeholders and vendors to plan, conceptualise, and execute events from initiation to completion.
• Ensure all event objectives are clearly defined and aligned with organisational goals.
2. Event Logistics Management
• Oversee on-site event logistics, including setup, attendee registration, on-ground coordination, and post-event breakdown.
• Maintain clear communication with stakeholders to manage timelines, resources, and deliverables effectively.
3. Administrative and Vendor Management
• Handle administrative tasks across all stages of event planning, including contract management, budgeting, and documentation.
• Manage vendor relationships, ensuring deliverables are met within agreed timelines and quality standards.
4. Post-event Analysis and Reporting
• Conduct post-event evaluations, gathering feedback to measure attendee satisfaction and overall event success.
• Prepare detailed reports with insights and recommendations for future event improvements.
5. Sustainability Practices
• Integrate sustainable practices into event planning and execution to reduce environmental impact while maintaining quality and effectiveness.
