Job summary

A leading HR advisory firm in Singapore is seeking an Engineering Assistant | Project Secretary to manage project documentation and support construction processes. Candidates should have a diploma in Civil or Construction Engineering and at least 2 years of experience in project secretarial roles, ideally within the real estate or construction industry.   • Role: Engineering Assistant | Project Secretary x 1
  • Industry: Real Estate Development & Civil Engineering Project
  • Basic Salary: $2,800 - $4,000 + AWS + VB
  • 5 Days, 9AM to 6PM
  • Working Location Nearby Tanjong Pagar or Shenton Way MRT, Singapore

Requirements:

  1. Diploma or above in Civil or Construction Engineering, Architecture, or a related field.
  2. At least 2 years of relevant experience in project secretarial, contract administration, or office management, ideally within the real estate or construction industry.
  3. Familiarity with Singapore’s development and regulatory processes
  4. Familiarity with construction project management tools or software (e.g., AutoCAD, MS Project).

Key Responsibilities:

  1. Assist in following up on project drawing reviews, approval and permitting progress, and the circulation of related documents with government authorities or consultants;
  2. Manage technical documentation, including drawings, technical agreements, and tender documents, ensuring clear categorization and timely updates;
  3. Draft and compile meeting minutes related to design, construction, and maintenance matters;
  4. Assist in preparing project briefs and technical presentation materials to support project reporting and communication;
  5. Follow up on the circulation and signing of technical contract clauses to ensure accuracy and timely progress;
  6. Support site inspection arrangements, record construction issues and rectification actions, and track follow-ups;
  7. Monitor the progress of renovation, maintenance, and handover processes for company-owned residences or project properties, ensuring quality and timeliness;
  8. Liaise with renovation contractors, property management, and maintenance vendors to coordinate repairs, interior furnishing, and equipment maintenance;
  9. Assist in handling property lease contracts, handover procedures, and the organization and filing of related documentation;
  10. Prepare technical payment documents related to engineering, design, renovation, and maintenance, including completion confirmations, inspection records, and contract attachments, and coordinate with the project manager to facilitate the approval process;
  11. Perform other engineering-related support tasks as assigned by superiors.
