Position: Volunteer & Admin Coordinator

Reporting to: General Manager

Working Hours: Monday to Friday, 8.00am to 5.00pm

Selected Saturdays, 8.00am to 12.00pm

The Volunteer & Admin Coordinator is responsible for the overall management of RDA Singapore’s volunteer programme and provides key administrative support to ensure the smooth operation of the charity’s activities. This role is crucial in engaging the community, supporting beneficiaries, and upholding the high standards of RDA’s equine-assisted therapeutic sessions.

Responsibilities
  1. Administrative Duties
  • Assist the Admin Manager with general office administration, including filing, data entry, and correspondence.
  • Support the coordination of RDA events (e.g., fundraising activities, outreach events) by managing volunteer deployment and logistics.
  • Maintain and regularly update the member database using the appropriate software systems available.
  • Ensure compliance with data protection policies, maintaining confidentiality of all beneficiary and volunteer information.
  • Prepare reports on volunteer activities and administrative matters as required.
  • Manage supplier relationships for purchases and services.
  • Volunteer Management
    • Coordinate the recruitment, onboarding, and orientation of new volunteers.
    • Maintain and regularly update the volunteer database using the appropriate software systems available.
    • Assign volunteers to roles based on their interests, availability, and organisational needs (e.g., administration, events, riding sessions).
    • Ensure all volunteer information forms and waiver forms are completed and stored securely.
    • Communicate RDA’s policies, procedures, and code of conduct to all volunteers.
    • Organise and support volunteer training sessions in collaboration with instructors.
    • Monitor volunteer attendance, engagement, and performance, providing feedback and support as needed.
    • Foster a positive and inclusive volunteer culture, recognising contributions and addressing concerns promptly.
    • Plan & execute bi-annual volunteer appreciation events.
