Key Responsibilities:

  • Provide administrative and secretarial support to the Director and Deputy Director

  • Manage calendars, schedule appointments, and coordinate meetings

  • Assist with travel arrangements for work-related trips, including booking and itinerary planning

  • Process claims, reimbursements, and payments in accordance with institutional guidelines

  • Handle departmental procurement and track purchases

  • Maintain inventory and records of departmental assets, loan items, and licensed software

  • Coordinate and organize departmental meetings, including agenda preparation and minute-taking

  • Follow up on action items from meetings and maintain proper documentation

  • Liaise with internal departments and external vendors on administrative matters

  • Support onboarding logistics and oversee general office operations for the department

Requirements:

  • Min. Diploma/Degree in relevant field

  • Proficient in MS Office Suite

  • Min. 2-3 yrs of admin & secretarial experience
