We are seeking a proactive and detail-oriented HR & Admin Executive to join our Human Resources team. The successful candidate will play a key role in providing administrative support across multiple HR functions, ensuring smooth operations and enhancing the overall effectiveness of the HR department. The ideal candidate should have strong organizational skills, the ability to manage sensitive information with confidentiality, and a solid understanding of HR practices and procedures. A keen eye for detail and a commitment to maintaining efficiency in both HR and administrative tasks will be essential in this role.
Job Description
Human Resource Responsibilities:
- Assist in recruitment process, including posting job ads, shortlisting candidates, arrange interviews, and assisting in the selection process.
- Handle payroll processing for all employees, ensuring that salaries, deductions, bonuses, and other adjustments are calculated accurately and disbursed on time.
- Oversee the onboarding process and conduct orientation session for new employees, ensuring all necessary documents are completed and new hires are properly integrated into the company.
- Manage work pass applications/ renewal, ensuring compliance with immigration and labour laws.
- Ensure timely and accurate submissions of government-required filings, such as CPF contributions, tax filings, and other statutory reports.
- Track and maintain accurate records of all employee training sessions, certifications, and qualifications, ensuring employees are up-to-date with mandatory training and certification renewals.
Administrative Responsibilities:
- Handle all matters related to workers' dormitory including allocation, maintenance, and ensuring compliance with relevant regulations.
- Arrange medical checkups for new and renewing workers as per company policies and regulatory requirements.
- Plan and execute employee engagement activities to foster a positive work environment and team spirit.
- Manage inventory and procurement of stationery and pantry supplies.
- Purchase flight tickets and organize transportation to/from the airport for resigned or home leave workers.
- Address and resolve general inquiries from staff and workers promptly and professionally.
- Handle PCP and monthly costing for dormitory, utilities and other expenses.
- Assist in various HR and administrative tasks as assigned.
Job Requirements
- Diploma/ Degree in Business or its equivalent.
- At least 3 years in the HR administration roles.
- Excellent organizational and multitasking abilities.
- Effective communication and interpersonal skills.
- Proficiency in MS Office suite and HR software such as Info-Tech.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy in record-keeping.
