Job description

OVERVIEW

The role of a Social Work and Administrative Assistant in school is to assist the School Principal, Vice Principal, Senior Social Worker and Administration Team in the areas of finance, personnel, and general administration to ensure the smooth operation of the school. And you will assist the School Administrative Team and Teachers to provide general administrative support and to provide support in building classroom teaching resources. You will also assist the reporting supervisor with administrative duties as and when assigned.

RESPONSIBILITIES
I) SOCIAL WORK

1. Provide administrative support to the Department:

a. Answer phone calls with good etiquette.

b. Arrange appointments for initial screening sessions for School (West)

c. Maintain a database of registered clients and other relevant records. Update the clients' records, Home system (Means Test) and SG Enable e-referral system.

d. Maintain a database of Department inventory.

e. Indent stationary supplies.

2. Assist under the supervision of Social Worker in providing simple casework to assigned clients and family members:

a. Attend to drop-in inquiries and requests from clients, their families and the members of the public.

3. Participate in Social Work-related activities for the clients:

a. Provide logistics support during group work session for client or their caregivers

b. Provide support to social workers in conducting means testing for clients for subsidies regarding payment for programme fees, transport fees and purchase of recommended assistive equipment.

c. Provide support to social workers in conducting means testing of clients for subsidies regarding payment for programme fees, transport fees and purchase of recommended assistive equipment.

d. Collate audit muster and transport audit.

e. Keep records of referrals and applications for financial assistance.

4. Maintain good housekeeping and safety standards:

a. Assist in the cleanliness and tidiness of the Department.

b. Keep wastage to the minimum — be responsible for the “switching off’ of all

gadgets, equipment, air-conditioners and lights after use.

c. Follow the safety guidelines of the Department and Association.

d. Maintain high ethical standards in work. This includes maintaining confidentiality

of all information pertaining to the clients and their families.

5. Undertake relevant duties assigned by the Senior Social Workers or Head of Social Work Department:

a. Assist and support relevant work activities/projects organized by the

Department, School (West) or Association. This includes Sports Day

and publicity events for CPAS.

b. Attend departmental meetings and relevant training sessions.

c. Assist in relevant survey, research or project work.

II) ADMINISTRATIVE WORK

6. School Operations

a. Do regular inventory checking and recording for uniform inventory.

b. Design and printing of common directional signs for school events.

7. School Administration

a. Checking of staff & student daily attendance.

b. Carry out the routine operational matters such as key loans and equipment loans.

c. Digitising Documentation tasks such as Scanning and saving documents into Shared Folders.

d. Assist Administrative Executive on School Newsletter related tasks.

8. Development of Classroom Resources

a. Assist teachers to build and update classroom teaching resources, based on termly listing.

b. Carry out the routine loans of the resources.

9. Quality and Productivity

a. Work as a team and participate positively and actively to ensure quality service delivery that aligns with the Association's mission, goals, and objectives.

b. Assist School Administrative Team to provide guidance to Administrative Assistant.

c. Undertake any other duties as assigned by the reporting supervisor.

10. Others

a. Undertake any other duties as assigned by Principal, Vice-Principal and Administrative & Operations Manager.

REQUIREMENTS

· Have some work experience in other organisations.

· Have experience using computers and office equipment such as a scanner or copier and others.

· Meticulous and conscientious when handling the documents.

· Possess a positive mindset and able to overcome difficulties to achieve desired results.

· Resilient to be able to manage priorities.

· Service-orientated and committed to high accuracy standards.

· Constantly maintaining high confidentiality when in sight of the documents while working.

· Strong interpersonal skills, tactfulness, and a strong team member when working with colleagues in the department.

· Good spoken / written communication.
