Job description

  • Manage Pre-Ops Executives: Ensure timely completion of tasks, including ordering, preparations, courseware, refreshments, assessments, Canvas, VLC emails, and invoice accuracy.

  • SOPs and Work Instructions: Continuously improve and align with funding agency requirements and company policies.

  • Email Requests: Process incoming requests from stakeholders promptly.

  • Make-up Classes: Assign and prepare within stipulated timeframes.

  • Ad-hoc Requests: Follow up on additional requests from corporate clients.

  • Compliance: Ensure SOP/process adherence to meet audit requirements and reduce complaints.

  • Audits: Facilitate monthly audits and reviews with funding agencies.

  • Vendor Performance: Review and provide feedback for contract renewals.

  • Product and Service Improvements: Review feedback for operational improvements and product development.

  • Financial Budgeting: Assist in budgeting for Pre-Ops activities.

  • Human Resource Management: Monitor manpower utilization, ensure staff competence, drive cross-training, manage recruitment and retention, and initiate improvement projects.

  • Technology Application: Lead technology initiatives for efficiency and innovation.

  • Collaboration: Work on joint projects with other teams and departments.

  • Reporting: Provide monthly statistics and reports to management.

Requirements:

  • Experience managing pre-course operations in Training and Education will be a plus.

  • Familiarity with funding agency’s course requirements will be a plus.

  • Experience using Microsoft Power Platforms (Power Automate, PowerApps, Power BI) welcomed.

  • Experience implementing Lean concepts to improve productivity welcomed.
