We are looking for a dedicated Senior Administrative Associate to support our Talent Attraction team by managing administrative operations, coordinating interviews, tracking candidates, and ensuring efficient recruitment processes..

Key Responsibilities:

  • Recruitment Coordination: Schedule and coordinate interviews, manage logistics including rooms and virtual links, communicate interview details with candidates, and follow up with interviewers for timely feedback.

  • Career Trial/Observation Coordination: Support the scheduling and coordination of Career Trials/Observations, manage documentations/contracts, and facilitate feedback collection.

  • Pre-onboarding Tasks: Track reference checks/medical examination status, monitor hiring progress, and prepare documentation for successful candidates transitioning to the onboarding phase.

  • Candidate Management: Maintain accurate candidate data in our recruitment systems, track employee referrals, generate pipeline reports, and ensure profiles are updated throughout the recruitment process.

  • Financial Administration:Process recruitment vendor invoices, create and manage Purchase Orders, track invoice status, and reconcile monthly recruitment expenses against department budget.

  • Data and Process Management: Maintain SOPs, generate metrics reports, organize digital resource libraries, and ensure data integrity across all recruitment platforms.

  • General Support: Assist with recruitment events, support special projects related to talent attraction, contribute to process improvement initiatives, and manage the HR Inbox communications.

Qualifications

  • A Bachelor's degree in Human Resources, Business Administration, or a related field

  • 3 to 5 years of administrative experience, preferably in recruitment/HR

  • Excellent written and verbal communication skills

  • Proficiency in Google Suite

  • Experience with Applicant Tracking Systems

  • Strong attention to detail
