Chen Wa Landscape Pte Ltd is seeking an enthusiastic and organized Project Administrative Assistant to join our dynamic team. As a Project Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office and supporting our team in delivering exceptional landscaping consultancy and construction services. This position requires a proactive individual with strong multitasking abilities, excellent communication skills, and a passion for creating efficient office environments.
Key Responsibilities :
Office Administration :
. Oversee day-to-day office operations, ensuring a smooth and efficient working environment.
. Assist the design team with overall coordination of manpower and appointments.
. Handle correspondence, including emails, phone calls, and mail, in a professional and timely manner for matters relating to projects/consultancy.
. Maintain and update office policies and procedures, ensuring compliance and safety standards are met.
Project Management :
. Maintain and update project records, including contracts, permits, and project schedules.
. Liaise with subcontractors, vendors, and clients to facilitate project communication and coordination.
. Proper documentation of payments and claims relating to the projects.
. Assist in conducting & submission of tenders/quotations for projects, evaluate submissions, recommend consultant/sub-contractor for award.
. Follow up on administrative work for post construction items for projects such as DLP, final accounts and coordination for handover to maintenance team.
. Manage monitoring of projects to achieve timely completion and work within the specific deadline.
. Provide administrative support to project managers and construction teams as needed.
Qualification :
Education : Diploma in Business Administration or Construction Management, or a related field (or equivalent work experience) in the construction/landscape industry.
Experience : Minimum of 1-2 years of experience in office management, administrative support, or related field.
. Singapore/PR citizen
Skills :
. Strong organizational skills with the ability to manage multiple tasks effectively.
. Excellent written and verbal communication skills.
. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
. Problem-solving skills and the ability to handle issues with discretion and professionalism.
. Ability to work independently and collaborate with diverse teams.
. Strong interpersonal skills and a customer-service-oriented attitude.
