Job description

We are seeking a detail-oriented and proactive Business Operations Analyst to join our team. You will be responsible for managing contract documentation, tracking project efforts, and supporting the Portfolio Management Office (PMO) with data analysis. You will also play a crucial part in supporting decision-making related to manpower planning and contract budget compliance. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.

Responsibilities:

  • Contract Management:
  • Maintain and update records of contracts and contract-related data.
  • Track key contract milestones, deliverables, and effort usage.
  • Liaise with relevant stakeholders to ensure contract compliance.
  • Project Effort Tracking:
  • Monitor and track project resources’ effort allocation across multiple projects.
  • Identify and flag effort overrun or underutilization issues.
  • Consolidate time and effort reports from various sources.
  • Data Handling & Analysis:
  • Extract, input, and validate large volumes of data with high accuracy.
  • Use Excel and other tools to generate regular reports and dashboards.
  • Provide insights, forecasts and trends on contract usage and manpower utilization.
  • Stakeholder Collaboration:
  • Work closely with Project Managers, team members, and PMO team to gather data and clarify information.
  • Communicate findings clearly and professionally to senior management.
  • Assist in preparing presentations and reports for internal review and decision-making.
  • Administrative and Communication Support:
  • Handle miscellaneous tasks to support the overall efficiency of the PMO.

Must Have:

  • Bachelor’s degree in Business Administration, Information Management, Mathematics, Statistics, Finance, Economics, Computer Science, Engineering or a related field.
  • Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, charts, conditional formatting, etc.).
  • Strong attention to detail, organizational, and time management skills.
  • Strong problem-solving skills and keen business acumen.
  • Excellent verbal and written communication skills.
  • Bilingual in English and Mandarin to facilitate communication with Chinese-speaking associates.

Good to Have:

  • Familiarity with contract administration and effort tracking concepts.
  • Familiarity with Microsoft Power BI, Tableau, SQL, or other analysis/reporting tools.
  • 2+ years of experience in a similar business operations, PMO support, project coordination, contract management, or data analysis role.
