An established industry player seeks a Senior Administrative Executive to oversee office management and provide executive support. Key Responsibilities:
1. Office & Administrative Management
· Oversee and coordinate general office operations including supplies, equipment, and vendor management.
· Maintain proper filing systems (physical and digital) and ensure document confidentiality.
· Ensure office maintenance and cleanliness by coordinating with relevant service providers.
· Oversee Security Guard team, Office Cleaner and Company Transport service providers.
· Any ad-hoc duties as assigned by Plant Manager.
2. Executive & Team Support
· Provide administrative support to senior management (i.e. Plant Manager, Deputy Plant Manager), including calendar management, travel arrangements, and meeting coordination, translation from English to Chinese.
· Assist with the preparation of reports, presentations, and internal communications.
· Provide secretarial support for meetings, including scheduling, preparation of venue, taking minutes of meeting in both English and Mandarin, ensuring follow up of action items and discussions.
· Provide administrative and organisational support for company events and activities.
· Purchase of fruits and praying items for fortnightly praying session.
3. Procurement & Inventory Control
· Monitor and manage office supplies and place orders as needed.
· Track and maintain records of fixed assets and office inventory.
4. Factory Compliance Support
· Handle and follow-up with communications and submissions with Government agencies such as JTC/MOM/URA/BCA/SCDF/NEA, etc.
Requirements:
· Diploma or Degree in Business Administration or relevant discipline.
· Minimum 3–5 years of administrative experience, preferably in a senior or supervisory capacity.
· Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
· Good command of written and spoken English and Mandarin to communicate with Chinese associates.
· Strong organizational, time management, and problem-solving skills.
· Able to work independently with minimal supervision and handle confidential matters discreetly.
· Able to start work immediately is an advantage.
· Working Hours: 5.5 days. Monday to Friday: 8.30am – 5.30pm; Saturday: 8.30am – 12.30pm (WFH, as required).
· Willing to work in Tuas. Company transport provided at Jurong East MRT.
