Job description

WORK SCOPE: This role involves responsibilities that are divided between administrative tasks and technical support.

a. IT Store Management
  1. Track and manage IT deliveries, including incoming and outgoing items.
  2. Maintain, document, and manage all IT hardware (laptops, desktops, corporate phones) and accessories deliveries and movements within the IT Store.
  3. Support team withdrawals and replenish IT equipment and accessories (such as headsets, docks, keyboards, mice) for user deployment.
  4. Update inventory daily and maintain accurate stock levels.
b. Shopping Cart
  1. Publish IT equipment and accessories details into the system to enable user procurement.
c. New Joiner Onboarding Hardware Deployment
  1. Identify new joiners from the HR mailing list.
  2. Send email notifications to line managers to facilitate hardware deployment.
  3. Prepare and issue hardware before or on the new joiner's first day.
  4. Monitor and track hardware deployment to ensure timely issuance.
d. Hardware/Mobile Requests Submission
  1. Handle, process, and validate requests on T Day.
  2. Alert teams to prepare and deploy hardware/mobile within the specified timeframe.
  3. Close the requests upon completion.
  4. Assist in collecting/issuing corporate phones at the IT Service Concierge.
e. Software Requests (Licensed Software) and Transfers
  1. Handle, process, and validate requests on T Day.
  2. Pick up software and transfer requests submitted in the system and install software on user machines within the designated time.
  3. Close the requests after completion.
f. Account and Access Provisioning
  1. Document, track, and renew all engineer accesses, including building access cards and LAN IDs, as necessary.
g. Reporting
  1. Extract data and assist in consolidating monthly reports.
h. Collaboration
  1. Proficient in using Microsoft Teams and Outlook for team coordination and user interaction.
  2. Familiar with Microsoft Office applications (Word, Excel, PowerPoint).
Requirements
  1. Minimum of 2 years experience in desktop administration and support.
  2. Good communication skills.
  3. Familiarity with end-user computing environments and desktop support workflows.
  4. Proficiency in MS Excel and PowerPoint is advantageous.
  5. Experience in Excel for data management or prior exposure to IT administration/IT store management.
  6. Strong interest in IT administration is welcome.
