Job Overview:
As an Officer, Finance & Admin, you are tasked with a pivotal role in supporting the finance and admin functions of the Clubhouse, so that all operations run efficiently and effectively. You will keep tab and fine-tune processes and track key data necessary for the team’s performance and decision making.
As a team member, you are also an ‘Ambassador’ and have a hand in ensuring a pleasant experience for or members and guests.
Responsibilities:
•Develop, review and upkeep the SOPs for the clubhouse’s internal administration and work processes.
•Manage and ensure the smooth workflow of basic finance & administrative processes.
•Prepare, process and issue Purchase Requisitions, Purchase Orders and Sales Invoices for the Clubhouse and ensuring its accuracy.
•Oversee and organize file or e-file registries, data and information storing and filing/ e-filing systems.
•Manage and track the Clubhouse’s facilities’ closures and process all necessary collections.
•Keep track and consolidate key data, statistics and analytics for monthly reports to track the performance of the Clubhouse.
•Facilitates general Clubhouse office administrations such as office supplies, office equipment, staff pantry, orientation for new hires, etc.
•Assist Executive/Snr. Executive in handling all administrative requirements and handling transactional processes to ensure operation’s efficiency and effectiveness.
•Supports Executive/Snr Executive in the compliance and adherence to in-house policies and coordinate closely with Finance-HQ on finance requirements.
•Manage petty cash for small purchases and process disbursements.
•Ensure high accuracy in data-handling and high integrity in all procedural transactions.
•Secretariat for the Executive Committee Meetings and coordinates meeting dates, venues, attendance and minute-taking, etc.
• Perform the role of Duty Officer / Ambassador as and when required.
• Assist with Clubhouse / Organizational events as and when required.
• Other administrative duties as assigned.
Requirements:
• At least Diploma/Advanced/Higher/Graduate Diploma in Administration /Finance/Business Management/or equivalent.
• At least 2 year(s) of working experience in the related field is required for this position.
• Proficient in Microsoft Office Tools.
• Possess a good command in written and spoken English.
• Able to work independently and is also a team player.
• Eye for detail, Meticulous, good organizational skills with the ability to multi-task.
• An analytical mind with problem-solving skills.
• Familiarity in Financial management principles.
